Supervisor - Executive Director
POSITION SUMMARY

General Knowledge/Education
- Thorough knowledge of generally accepted accounting principals
- Bachelor’s Degree in Accounting, Finance, or Business or a closely related field is required
- 5 years of experience in an accounting related role; job cost tracking, grant reporting, non-profit regulations experience is a plus
- Proficiency with accounting software is required; QuickBooks Desktop experience is preferred
- Proficiency with Microsoft Office, including Word & Excel; an intermediate to advance level of competency in Excel is an absolute must
- Ability to effectively communicate in a professional manner with all levels of individuals
Dimensions
- Responsible for all aspects of recording the financial activities of the organization including job cost accounting, non-profit specific related transactions, grant reporting activities, retail specific accounting transactions, and record keeping of homeowner mortgage receivables and escrow accounts
- Help to ensure that the organization is a good steward of its financial resources
- Be willing to assist in investigating and reporting on funding opportunities for the organization that are appropriate to the organization’s mission
- Develop and maintain professional relationships with external parties including volunteers, vendors, and professional service providers
- Willing to train and work with volunteers for administrative tasks, as appropriate
- Interface with all management staff to identify support needs of the organization
- Willing to learn and use diverse electronic systems to be able to retrieve financial data for recording into the accounting system
- Ability to work hands-on to ensure tasks in the financial area are completed
- Ability to maintain high degree of confidentiality with sensitive data
Principal Accountabilities
Accounting
- Prepare accurate financial statements as required including income statements, balance sheets, and cash flow statements
- Prepare monthly ReStore income statements for each store
- Provide monthly financial recap for executive leadership team.
- Prepare monthly and quarterly dashboard reports for Board of Directors Meetings
- Analyze reasons for significant budget to actual variances
- Adhere to internal financial controls and best practices
- Collaborate with all management staff regarding implementation of best practices; staying within established budgets and guidelines, and streamlining processes.
- Lead annual budget process and prepare detailed budget
- Direct the annual audit and 990 preparations
- Perform/review daily, weekly, and monthly account reconciliations, as appropriate.
- Approve cash transfers between accounts
- Assist in preparation and distribution of 1099’s and 1098s
- Assist in payroll preparation and review related tax filings for accuracy and completeness
- Record journal entries, as required, to accurately reflect financial activities of the organization
- Any financial related research or special projects as required
- Coordinate with the Board Treasurer to report financial activities to the Finance Committee
- Oversee mortgage servicing, including recording of payments, mortgage and escrow balance tracking, mortgage aging reporting, and late payment notifications
- Record home sales including any associated mortgage
- Record foreclosed, modified, or repurchased mortgages
- Maintain and nurture professional, productive relationships with homeowner families, particularly where the organization holds the mortgage
- In cooperation with Family Service Managers, assure organization maintains current mortgage related practices in line with federal regulations
- Assist with financial related portions of grant applications
- Work on grant follow up reporting as needed
- Assist in procurement of common office services
- Assist in procurement of insurance coverages for the organization, including, but not limited to, umbrella, general liability, property, workers’ comp., D&O, and auto
- Ensure that reasonable internal controls are in place to safeguard corporate assets, financial, and employee data.
- Perform other duties as assigned
- Assist Executive Director in overseeing human resource activities
- Help to manage confidential data including hiring, corrective actions, terminations, and pay increases
- Assist in maintaining accurate and detailed employee personnel files
- Assist with proper benefits and human resources record retention
- Oversee coordination of staff benefits, including, but not limited to, health, dental, vision, retirement, and short term disability
- Assist in recruiting and managing volunteer participants for the Finance Committee
- Provide necessary reports to any committee seeking financial forecasting with approval of the Executive Director
- Lead by example and take hands on approach
- Work with Resource Development committee to advise and produce fundraising opportunities.
- Ensure all federal, state and/or local tax, withholding and other government reporting is completed/maintained as required for not-for-profit organizations
- Ensure compliance with all grant standards including audit guidelines
- Ensure compliance with any future finance leveraged activities
- Lead and motivate staff to meet their objectives via the cost-effective use of resources
- Develop volunteers to take on new and expanded responsibilities
- Evaluate appropriate volunteer candidates for finance and office roles
- Ensure all associates receive adequate training to perform their duties as related to financial activities
- Provide on-going feedback and prepare annual performance evaluations for finance personnel
- Participate in periodic strategic planning sessions and activities for the future planning for the organization
- Attend key fundraising and networking events as invited as a member of the Habitat for Humanity Hawaii Island Finance Committee

POSITION SUMMARY
- Site supervisors organize and manage the full volunteer construction team so that goals are met by the end of the day.
- Site supervisors list tasks needed to be accomplished that day and match volunteer crew leaders with volunteer crew members to do each task.
- Site supervisors are responsible for the day’s schedule, job safety and maintaining the quality of workmanship.
- A site supervisor typically will not be present on site on a day when only subcontractors are working.
- Coordinate with Volunteer Coordinator and Construction Manager for volunteer needs
- Site Supervisors may need to perform hands on construction activities alongside partner families and volunteers
ADDITIONAL RESPONSIBILITIES
- In accordance with Habitat for Humanity Hawaii Island plans, specifications and quality requirements, supervises overall construction activity and provides leadership to construction activity, including keeping up to date on activities of the subcontractors, as well as volunteers.
- Under the direction of the Construction Manager, trains house leaders and crew leaders.

- Treats partner families with respect and dignity. Strives to make their construction involvement meaningful and reminds house leaders of this ministry requirement.
- Supervises job site on each designated workday.
- Understands elements that contribute to successful volunteers and helps ensure that volunteers have a consistently good experience, thus motivating them to return.
- Anticipates problems and issues typical of the organization and personally act on same, if necessary, to help ensure schedules are met and work plans are enabled.
- Evaluates and implements good safety practices and constantly stresses same with house leaders and volunteers.
- Ensures that communications to staff, and volunteers are accurate and timely.
- Identifies volunteer jobs/needs not currently filled and communicates needs to Construction Manager.
- Trains all volunteers utilizing others on his/her team.
- Suggests potential advantageous building practices and material cost saving opportunities to construction chairperson as identified.
- Supervises all site preparation and layout.
- Supervises all warranty complaints and repairs.
- Meets long and short term goals established with the Building Committee and Executive Director.
QUALIFICATION REQUIREMENT
- Considerable knowledge and experience in the construction/contracting business.
- Willingness to teach and develop construction skills of volunteers
- Construction management experience preferred.
- Team-building experience a real plus.
- Planning, organizing, scheduling, and time management skills are a must.

Stock and organize ReStore shelves and help set up displays when not getting donations
Assist in pricing and inventory
Accept donations and provide receiving form to donors

Good customer service & communication skills
Good organizational skills
Ability to follow directions
Show initiative/work independently
Cash handling experience and skills
Strong reading, writing, verbal and arithmetic skills.
Must have reliable transportation to and from work.
Must maintain reliable and stable work schedules with some flexibility.
Ability to spend the majority of the day standing or moving about the store.
Ability to lift 50 lbs multiple times daily
